What’s Different About Agentic AI
Right now, a lot of schools have help desk chatbots that teachers, staff and students can engage with to get quick help for simple needs. However, the bots are limited in their capabilities. They can automate certain tasks, such as creating tickets or directing people toward knowledge base articles to answer basic questions, but they can’t do more complex functions.
An AI agent goes several layers deeper than a chatbot by automating tasks in a more intelligent way. AI agents can access and process information, complete functions and resolve issues autonomously. Rather than just pointing someone to a source of information, an AI agent can access and process information, complete a function and resolve the issue in the interaction itself. And unlike human technicians, they are available around the clock. That means even when a teacher needs help accessing a student information system at 8:30 p.m., there’s an agent available to help.
AI agents won’t solve every problem. What they will do is improve access and response time, complete basic functions, then escalate more complex needs to a real technician.
Keeping a Human in the Loop
As with any AI use, it’s critical to include human oversight to ensure that it is functioning as it should and that the right guardrails are in place for secure use. If an AI agent has access to a system or task, it’s going to use it. That could result in giving too much information to the wrong person or allowing account access to someone who shouldn’t have it. That’s why boundaries are important. For complex tasks, adding a step for a human to verify that everything is correct can limit the unintended consequences of too much access.
AI agents should not be able to do any of the following without manual approval from an IT team member:
- See or share sensitive student data
- Grant access to administrative accounts
- Make complex network decisions
- Take over strategic planning decisions
Agents can very easily make mistakes with long-term consequences, just as humans can. You don’t want your agent giving a student access to the principal’s email or knocking out internet access for three days. Each district must analyze their processes and decide where to draw the line in terms of what an AI agent can access, what needs human approval and which tasks should only be performed by a member of the IT staff — but there must be a line.
Where To Start: Implementing AI Agents for IT Support
Districts that feel ready to pilot agentic AI for their IT department should start with common tasks. What are the top 10 things the team does every day? What can be automated? Start with routine, easy tasks and build from there.
What schools shouldn’t do is bite off more than they can chew. A big agentic AI rollout might feel like a win, but if there’s too much happening all at once, it can be easy to overlook errors in the process or gaps in security.
Start small and solve simple needs first. Monitor the process and make sure the boundaries are airtight. Then, once you have a good handle on what your agent is doing and what it’s capable of, you can add to it strategically until your agent has a robust menu of tasks that it’s taking off your team’s workload.
IT as the District’s AI Model
K–12 districts are making a big push for using AI, whether it’s administrators automating simple tasks or instructors personalizing lesson plans. The IT department should be at the core of any district AI initiative, and implementing agentic AI is the department’s opportunity to model a successful rollout. Of course, IT leaders don’t need to manage this process alone. K–12 districts are notoriously collaborative, so one district considering agentic AI can lean on the advice of others, rather than reinventing the wheel.
